Vendor onboarding, COI requirements, volume pricing, and how we handle multi-property work across Lake Country and Waukesha County.
Residential stump grinding is one job. Commercial work is a different relationship, one COI request, one approved vendor list, one annual contract that covers a dozen properties at a time. We work with both. This article covers what HOA boards, condo associations, and property managers in Lake Country and the wider Waukesha County metro need to know to bring us on as an approved vendor.
Our commercial book is mostly Lake Country and the surrounding Waukesha County metro. The five clearest fits:
Most Waukesha County property managers run a standard onboarding packet. We have completed it for enough firms that we can usually return everything within 24 hours of request. Standard items:
Certificate of Insurance (COI). Issued by our carrier with your association, management company, or commercial entity named as certificate holder and additional insured. $1 million per occurrence, $2 million aggregate general liability. Commercial auto and workers compensation per Wisconsin Statute. No additional fee.
W-9. Standard federal form for 1099 reporting on contracts over $600.
References. Other Wisconsin commercial clients available on request, including HOAs and property managers in Brookfield, Pewaukee, Hartland, and Oconomowoc.
Business licensing. We are licensed and insured in Wisconsin. Documentation provided as part of the onboarding packet.
Safety documentation. Equipment maintenance records, operator training records, and our standard turf-protection protocol (see our lawn damage article for the details).
Volume changes the per-stump math a lot. Here is how multi-stump and contract pricing works for Lake Country commercial clients.
| Job profile | Typical per-stump rate | Discount vs. residential |
|---|---|---|
| 1–2 stumps, single visit | Residential rates apply ($3–$4/in, $150 min) | , |
| 3–9 stumps, single visit | $2.75–$3.50 per inch | 10–15% off |
| 10–24 stumps, single visit | $2.50–$3.00 per inch | 20–25% off |
| 25+ stumps, single visit | $2.25–$2.75 per inch | 25–35% off |
| Annual maintenance contract | Negotiated, fixed base + per-inch | Custom (priority scheduling included) |
| Emergency / storm response | Same-day or next-day, ~10% premium | Premium offsets volume discount |
A 25-stump common area cleanup at an older Brookfield HOA quotes around $4,500–$5,500, roughly 20–25% less than the same 25 stumps booked as separate residential jobs. See our standard cost calculator for residential baseline, then expect 20–25% off for HOA volume.
The work falls into four predictable patterns. Knowing which one fits your property helps us quote accurately.
1. Post-EAB common area cleanup. The Wisconsin DNR confirmed Emerald Ash Borer in Waukesha County in 2013, and the bulk of the ash die-off finished by 2020. Many HOA common areas in Brookfield, Pewaukee, Hartland, and Menomonee Falls still have rows of EAB ash stumps that never got fully ground. We specialize in this work. See our EAB stump cleanup guide and ash service page.
2. Storm-damage response. Wisconsin windstorms, ice events, and the occasional summer derecho leave commercial properties with downed trees and stumps within hours. We respond same-day or next-day on emergency calls. More on emergency response here.
3. Annual maintenance sweep. Older subdivisions with 100+ mature trees lose 3–8 trees per year to age, storms, and disease. An annual contract covers the steady-state cleanup so the property manager never has to bid each stump individually.
4. Pre-sale or pre-occupancy prep. When a unit or commercial property is going on the market, sitting stumps in common areas hurt comp valuations and inspection reports. Fast turnaround (3–5 business days) for these.
Three regional factors that affect almost every commercial stump job in Waukesha County.
Shoreland zoning for lakefront commercial. Country clubs, marinas, lakeside restaurants, and condo associations on Pewaukee Lake, Lac La Belle, Pine Lake, and the Oconomowoc chain sit in the shoreland zone. Stump work here follows Waukesha County Shoreland Protection Ordinance rules. We handle compliance documentation as part of standard quotes. See our shoreland rules article.
Winter scheduling. Frozen ground from December through March is actually ideal for commercial stump work, no turf damage on common areas, lower demand (better pricing), and we can fit more jobs into a day. Several of our HOA clients schedule their annual sweep in February for this reason.
EAB-specific risk. Standing dead ash trees on commercial property are a liability. They drop heavy branches in wind events, and the trunk eventually fails. HOAs and property managers who haven't completed their EAB inventory should. See our ash cleanup service.
Yes. We work with HOA boards, property management firms, condo associations, and commercial property owners across Lake Country and Waukesha County, including Brookfield, New Berlin, Sussex, Menomonee Falls, and Mukwonago. Vendor onboarding takes 1–3 business days. We carry $1 million in general liability and provide a Certificate of Insurance (COI) with your association named as additional insured at no extra cost.
General liability ($1 million per occurrence, $2 million aggregate), commercial auto, and workers compensation as required by Wisconsin Statute. COI issued by our carrier with your HOA, management company, or commercial property entity named as certificate holder and additional insured. Most property managers in Waukesha County receive our COI within 24 hours of request via email PDF.
For multi-property contracts and HOA common areas, we move from per-stump pricing to volume-based pricing, usually 15–25% below standard residential rates after the first three stumps in a single visit. A 25-stump cleanup at a single Brookfield common area might quote at $88 per stump average instead of the residential $112 per stump average. Annual maintenance contracts (covering storm cleanup, regular spring/fall sweeps, and ad-hoc requests) get further negotiated pricing.
Four scenarios make up most of our HOA work: (1) Post-EAB cleanup of ash stumps that have been sitting in common areas since 2015–2020. (2) Storm damage cleanup after Wisconsin windstorms or ice events. (3) Routine annual maintenance for older subdivisions in Pewaukee, Hartland, and Brookfield where mature trees come down on a rolling basis. (4) Pre-sale property prep when a unit is going on the market and stumps in the common area need to disappear.
Email us your vendor onboarding packet through our contact form or call directly. Standard items: W-9, current COI, references from other Wisconsin commercial clients (we can provide), and any specific contract terms your management company uses. We have completed onboarding with most major Waukesha County property management firms, turnaround is usually 1–3 business days from packet receipt.
Yes. Annual contracts work well for HOAs with predictable stump cleanup needs, usually older subdivisions with 100+ mature trees and a steady rate of removal. We structure these as a base fee plus per-stump rate, with priority scheduling for storm response. Most contracts include 2 scheduled visits per year (spring and fall) plus on-demand response within 5 business days. Email our office for a sample contract.
We handle commercial properties (retail centers, office parks, medical campuses, and industrial sites) across Waukesha County. Most commercial jobs are scheduled outside business hours to avoid disrupting tenant operations. We have completed work for property managers in downtown Oconomowoc, the Capitol Drive corridor in Pewaukee, and the I-94 commercial belt in Delafield and Summit.
Property managers and HOA boards: send us the address list and we'll come back with a written quote within two business days. COI and W-9 in the same email. Lake Country Stump Grinding works across all of Waukesha County.
Most quotes back within 1 business hour, 7am–7pm Mon–Sat. We'll text you a price estimate.
